Fund administration software should produce accurate books, reliable investor records and a clear audit trail. Before comparing features, decide who will do the work. Buying software for an internal finance team is different from appointing an administrator that delivers a service through its own platform.
That distinction determines the budget, staffing and responsibility you need to evaluate.
Start with the operating model
An in-house team needs a system it can configure, run and reconcile. An outsourced model needs a service agreement defining who prepares the accounts, checks outputs and resolves exceptions. A hybrid model needs an especially clear division of work.
For an SPV sponsor, the requirement may be a formation and administration service for individual deals. For a manager running several funds, it may include partnership accounting, complex waterfalls, multiple currencies and consolidated reporting. These are different purchasing decisions.
A shortlist by product type
We have grouped the following examples by product type, using published descriptions checked on 8 September 2026. We include our own SPV administration service alongside fund-accounting software and other administration services. Published descriptions do not establish service quality or guarantee that every feature is included in every contract.

Use a written requirements brief to obtain comparable quotes. Specify funds, entities, investors, currencies, users, integrations, historical data and the services expected from the provider.
Run the same demonstration with every vendor
Avoid a tour consisting only of polished dashboards. Give vendors a small, anonymised test case with an expected outcome.
For example, ask them to record a capital call for three investors, process one late payment, book an investment and an expense, then produce capital accounts and an investor notice. Introduce a correction after the first close. The system should preserve the record of what changed and why.
Then test a distribution containing return of capital and profit. If the fund has preferred returns or different investor terms, include those. Ask the demonstrator to explain the calculation rather than merely display its result.
Examine controls as well as convenience
| Control | Demonstration question |
|---|---|
| Permissions | Can a user prepare a payment without approving it? |
| Audit history | Can you identify who changed a bank detail or valuation? |
| Reconciliation | How are unmatched cash items found and resolved? |
| Reporting lineage | Can a reported number be traced to transactions and assumptions? |
| Data export | Can you export complete records in a usable format? |
| Access continuity | What happens if a key employee leaves or the provider changes? |
A report can look professional while using incomplete data. Sample the underlying records and exception handling, particularly where information moves between systems.
Treat migration as a separate project
Historical records need mapping, cleaning and reconciliation. Agree who owns each task, how opening balances will be approved and whether parallel reporting is required before switching.
A practical migration plan identifies the source system, fields, documents, transaction history, acceptance criteria and cut-over date. Test a sample before committing the full history. Retain access to evidence supporting older figures even when the new system presents them differently.
Implementation costs can include configuration, integrations, training and staff time as well as the licence or service fee. Include recurring support and exit costs in the comparison.
Agree what success looks like
Choose a few measures tied to your operating problem: time to close the books, unresolved reconciliation items, investor-report corrections and response time for critical issues. Establish a baseline and review it after implementation.
Software can improve consistency and reduce manual work. It still needs sound valuation judgements, reliable inputs and a clear allocation of responsibility between the manager and its providers.
FAQ
Is fund administration software the same as a fund administrator?
No. Software provides tools and workflows; an administration engagement assigns people and contractual responsibility for specified work. Some providers supply both. Establish who prepares, reviews and signs off the outputs, rather than assuming a platform subscription includes a managed service.
How should a small manager compare software costs?
Include implementation, staff time, data cleaning, integrations and ongoing support alongside the licence or service fee. Quote the actual number of entities, investors and reports required. A cheaper system that leaves more manual reconciliation can cost more to operate.
Can fund administration software calculate carried interest?
Some products include waterfall calculations, but support for your agreement must be demonstrated. Test preferred returns, investor-specific terms, partial distributions and corrections where relevant. Verify the result against an independently checked example before relying on it for an actual payment.
What happens if the software provider or administrator stops operating?
Continuity depends on access to records, contractual rights, replacement capacity and the roles of other parties. Require usable exports and a documented transition process. A separate bank or custodian does not automatically take over every accounting, reporting and investor-service task.
